You need to have a system for storing information. I'd prefer 3-tier planning system. The first one is for storing thoughts. The second one is for General planning and the last one is putting the task on some days.
Let's begin with the first one. Every time you gain some piece of knowledge or data, capture it in the trusted system.
For Task, I use Todoist. It's a good app to capture tasks. It has a clear design and you can easily manage your tasks here.
For information I use Evernote. It's a perfect app that synchronizes with different devices. Use it to capture pieces of information.
For data, you can use google drive or Dropbox or some external drive.
Next, you need to plan what to do in each week. Look at all of that information and choose which of those are most important in this week and also schedule some fun during the week so that you feel more energized and motivated to do the work. I'd recommend using trello or meistertask to organize your week. Also using a notebook could be helpful if you don't feel comfortable with these apps.
Write down every task you need to do this week, every meeting and things you would like to do if you got spare time.
Last but not least is daily planning. The night before write down main focuses for the day and all of the things that flow in your mind. To-do list is the best thing to be overwhelmed. And we want to avoid it. That's why you'd better write down your focuses instead of tasks and use a calendar to schedule them. That way you won't be so overwhelmed. I personally use google calendar.
